Terms of Service
These are AertaOne’s terms for authorised staff use of the AertaBook booking platform. They are not the terms of any client’s underlying trade service, and they are not the terms for the public aertaone.com website.
1. Who may use the platform
AertaBook is for authorised staff managing appointments for a configured site. Staff access is through that site’s staff PIN screens.
It is not a public self-serve booking product for end customers. Customers do not create accounts on AertaBook.
The public demo is a shared demonstration environment. Anyone with the link may explore it. Demo data resets nightly and must not be treated as a private or lasting record.
Only use a client site while you are authorised to do so.
2. The managed service
AertaOne operates AertaBook as a managed booking platform. Clients do not host or administer the platform themselves unless a separate written arrangement says otherwise.
The managed service typically includes:
- Staff booking screens used to create, find, reschedule and cancel appointments.
- A diary showing those appointments against the staff or resources configured for the site.
- Appointment SMS through Sendmode, including confirmations, change notices and reminders where they are due and messaging is enabled.
- The booking statuses staff see after a customer replies or a reminder is processed.
- Hosting, access control and support for authorised staff use.
AertaOne decides how the platform is hosted and maintained. The client decides whether a customer appointment should be created, changed or cancelled, and remains responsible for the service it provides to its customers.
These terms do not create a public self-serve software licence, or a right for anyone other than authorised staff (and demo visitors, for the public demo only) to use the platform.
3. Customer and appointment details
Staff must enter accurate customer names, mobile numbers, service details, appointment dates and times, and booking statuses.
Check the details before completing a booking. Correct errors through the authorised screens or raise them with the person responsible for the appointment.
Only enter information needed to arrange and manage the appointment. Do not use the platform to store unrelated personal information, extra notes that are not needed for the job, or confidential documents.
Do not enter real customer details on the public demo.
4. Appointment messages
The platform and connected services may send appointment confirmations, reminders, change notices and related status messages where messaging is enabled. Those messages are identified with the client’s business name. They typically include the appointment day and time and a short confirmation instruction where needed.
A short confirmation reply may confirm the appointment. Other replies may leave the booking unchanged and ask staff to follow up, including by phone.
Staff must only use mobile numbers supplied for the relevant booking. Do not use the platform to send marketing, unrelated messages or messages to people who are not connected with the appointment.
A message being sent does not mean that the customer has received, read or confirmed it. Staff must check the booking status and follow up where necessary.
On the public demo, SMS runs in dry-run mode so messages are not delivered to real phones.
5. Availability and service interruptions
The platform depends on website hosting and, where enabled, SMS services. These services can experience delays, interruptions or failures.
AertaOne does not guarantee uninterrupted access, immediate diary updates or delivery of every SMS message. There is no published uptime target or response-time commitment in these terms.
AertaOne may take the platform offline for maintenance or to protect the service. If an appointment, diary update or message appears to have failed, check the position before relying on it or creating a duplicate booking. Use the business’s usual phone or diary fallback while the issue is resolved.
Report platform problems to hello@aertaone.com.
6. Support and staff access
AertaOne support handles platform access, faults and operational questions at hello@aertaone.com. There is no self-serve access reset in the product. If staff cannot sign in, or access needs to be changed, the client should contact AertaOne support.
AertaOne support does not take over the client’s customer calls or decide whether a job should go ahead. Appointment and trade questions stay with the client.
7. Acceptable use and access security
Staff must protect their access and keep authorised devices secure.
Do not:
- Share login access or allow an unauthorised person to use an authorised session.
- Attempt to bypass access controls.
- Probe, scan or interfere with the platform or its connected services.
- Access, copy or change information without authorisation.
- Enter unlawful content or use the platform for an unlawful purpose.
- Use the platform for activities unrelated to authorised appointment management.
Report a lost access device, suspected unauthorised access or other security concern promptly to hello@aertaone.com.
8. Suspension of access
AertaOne may suspend or restrict access where the platform is misused or where this is necessary to protect the platform, personal information or connected services.
Do not attempt to work around a suspension. Contact AertaOne if you believe access has been restricted in error.
9. Responsibility and liability
AertaBook is a booking and administration tool. Its use does not create or change the client’s trade, warranty, insurance or customer-service obligations.
The client remains responsible for the service it provides and for decisions about customer appointments. Staff are responsible for checking the information they enter and dealing with booking issues that need attention.
AertaOne operates the platform and the connected booking automation. This does not make AertaOne the provider of the client’s trade service, the business the customer booked with, or the SMS sender in the customer’s eyes where messages are sent in the client’s name.
These terms do not set prices, payment obligations, service credits or commercial service commitments between AertaOne and a client. If a separate written commercial agreement exists, those matters are governed by that agreement. These terms do not invent or replace that agreement.
Nothing in these terms excludes or limits liability where doing so would be unlawful.
10. Privacy
How booking and staff-access information is handled is set out in the platform Privacy Notice. That notice is separate from the aertaone.com privacy page.
11. Changes and questions
AertaOne may update these terms. When they change, we will replace the Terms of Service page on the AertaBook host with the updated version.
